Client Projects & Ownership

• Ownership of the final approved deliverables transfers to the client only after full payment has been received.
• All concepts, drafts, proposals, working files, editable source files (including AI, PSD, INDD, XD, Figma, or similar files), design processes, and unused concepts remain the intellectual property of FullCircle DB unless specifically included in the project agreement.
• FullCircle DB retains ownership of proprietary methodologies, templates, systems, frameworks, and creative processes developed during the course of a project.

 

Portfolio Rights

Unless otherwise agreed under a signed confidentiality or non-disclosure agreement, FullCircle DB reserves the right to display completed work in its portfolio, website, social media platforms, presentations, award submissions, and other promotional materials.

Where appropriate, confidential information will be excluded or anonymised.

Quotations

All quotations provided by FullCircle DB are based on the project scope discussed at the time of quoting.

Unless otherwise stated, quotations remain valid for 30 days from the date of issue.

Changes to the project scope after approval may require a revised quotation or additional fees.

Project Scope

The agreed project scope forms the basis of the services to be delivered.

Requests that fall outside the original scope may be treated as additional work and quoted separately.

Client Responsibilities

Clients agree to:

• Provide accurate information.
• Supply required content, branding assets, images, and approvals in a timely manner.
• Review deliverables promptly.
• Provide clear and consolidated feedback where possible.
• Ensure they have the legal right to use any materials supplied to FullCircle DB.

Project delays resulting from missing information or delayed approvals may affect agreed timelines.

Revisions

Project quotations include a reasonable number of revisions as specified in the project proposal.

Additional revisions, significant redesigns, or changes beyond the approved scope may incur additional charges.

Project Timelines

Estimated delivery dates are provided in good faith.

While FullCircle DB makes every effort to meet agreed timelines, delivery dates may be affected by:

• Delayed client feedback
• Changes in project scope
• Delays in receiving required materials
• Technical issues beyond our reasonable control
• Third-party service providers

 

Payments

Payment terms will be specified in each quotation or invoice.

Accepted payment methods may include:

• Electronic Funds Transfer (EFT)
• PayFast
• PayGate
• Stripe
• PayPal
• Other approved payment methods

 

Invoices are payable according to the agreed payment terms.

Late payments may result in project delays, suspension of work, or withholding of final deliverables until outstanding amounts have been settled.

Cancellations

If a project is cancelled after work has commenced, the client remains responsible for payment for work completed up to the date of cancellation.

Any deposits paid are generally non-refundable unless otherwise agreed in writing.

Third-Party Services

Projects may involve third-party platforms or services such as:

• Website hosting
• Domain registration
• WordPress plugins
• Stock photography
• Fonts
• Printing services
• Payment gateways

 

Unless specifically stated, the cost, licensing, renewal, maintenance, and ongoing management of these services remain the responsibility of the client.

FullCircle DB is not responsible for outages, pricing changes, policy changes, or service interruptions caused by third-party providers.

Artificial Intelligence

FullCircle DB may use reputable AI-assisted tools to support research, brainstorming, content refinement, workflow optimisation, or administrative tasks where appropriate.

All final creative direction, design decisions, client deliverables, and quality assurance remain under professional human oversight.

Confidential client information will not knowingly be used to train public AI models.

Warranties

We strive to provide professional, high-quality creative services.

However, we do not guarantee that:

• Our website will always be available or error-free.
• Deliverables will be compatible with every future technology or platform.
• Third-party software or services will continue operating without interruption.

 

Limitation of Liability

To the fullest extent permitted by law, FullCircle DB shall not be liable for any indirect, incidental, consequential, special, or financial losses arising from:
